KR Recruitment Luxembourg are delighted to be exclusively recruiting an Office Administrator for a global Real Estate group building their Luxembourg office.

This is a unique opportunity; the company can offer a stable working environment with good work/life balance.

This position will be responsible primarily for the administration duties (domiciliation/day-to-day operations) for a Luxembourg corporate structure with foreign ultimate parent, involved in Real Estate investment.

 

Main Responsibilities : 

  • Coordinating the timely and correct execution of legal and treasury documents
  • Circulating signed copies, maintaining agreements register, responding to contract related queries
  • Handling legal fees form external counsel and coordinating with Account Payable to ensure these are paid
  • Data entry and invoice upload for Luxembourg Accounts Payable
  • Creation of new supplier registration forms in conjunction with Accounts Payable
  • Coordinate maintenance & purchases of stationary and other supplies for a small office (4 staff): Including coffee/tea station, photocopier, cleaning & IT services
  • Processing incoming and outgoing mail. E.g. coordinating courier services and other postal matters
  • Organizing finance team meetings and social eventsAd hoc projects
  • Drafting board agendas and minutes, convening notices, power of attorneys
  • Board and Committee meetings co-ordination, preparation and attendance
  • Assisting finance, tax, treasury and other internal departments on corporate governance matters
  • Responding to requests for corporate information, maintaining company records, minute books, share registers and structure charts
  • Processing appointments and resignation of directors, administration of signatory lists, arranging notarisation and legalisation of documents
  • Interaction with senior executives, directors, notaries, auditors, external counsel

 

Qualifications/Experience:

  • 3-5 year of experience in corporate administration, contracting matters
  • Absolute fluency in English
  • Able to work independently as well as part of a team, in an international environment
  • Excellent communication, organizational and analytical skills
  • Adaptable, flexible, collaborative, initiative taker
  • Ability to deal professionally at all levels, dealing with complex matters and producing high standard of work
  • IT literate and skilled in Microsoft software applications
